Pharmix Sign & Evidence

Every handover. Signed, photographed and connected.

Turn a goods-received note or delivery note into a clear handover record. Pharmix Sign & Evidence is a planned standalone product for capturing names, signatures, quantities and camera photographs against the right document. Designed for pharmacy stores, receiving teams and distribution partners, it brings evidence of what arrived, what was accepted and what needs attention into one reviewable record.

What this product covers

Practical controls with a record behind the work

Goods-in with a clear receiving record

Proposed receiving screens link supplier references, expected lines and actual quantities to a goods-received note (GRN). Staff can record shortages, damage or rejected quantities before completing the handover.

  • Expected versus received quantities
  • Supplier, purchase-order and GRN references
  • Partial receipt and discrepancy reasons

Photographs at the point of handover

Open the supported phone or tablet camera from the document to capture packaging, pallets, labels or visible damage. The proposed record associates each photograph with the document, user and capture time, with upload status shown before completion.

  • In-context camera capture with device permission
  • Document-linked photographs and captions
  • Visible upload progress and retry handling

Signatures with meaning

Capture the recipient's name and signature alongside the quantities and acceptance statement shown to them. Include separate driver and receiving-team acknowledgements where the workflow requires both.

  • Named recipient and handover role
  • Driver and receiver acknowledgement options
  • Accepted, accepted with exceptions or refused

Exceptions stay with the document

Keep damage photographs, short-delivery notes and refused lines beside the signed handover. An exception should create a review task rather than silently marking every item as accepted.

  • Damage, missing-item and rejection records
  • Reason and follow-up responsibility
  • Corrections recorded as revisions

An evidence pack your team can retrieve

The planned export combines the document reference, line summary, signatures, photographs and event history into a printable record. Search by supplier, customer, date or document number.

  • Printable signed GRN and delivery-note pack
  • Searchable handover history
  • Controlled sharing and configurable retention

Use it beside your existing system

Start with an agreed document import and export, then scope connections to WMS, ERP or transport systems. Source document IDs and duplicate checks are part of the proposed integration design.

  • Agreed CSV or API mapping
  • Reference matching and duplicate handling
  • Role-based access to evidence

Discuss an early-access pilot
Can we use this as a standalone product today?

This is a planned standalone product. Related signature, delivery and exception workflows exist in the underlying WMS; packaging, camera behaviour, integrations and release scope still need development and validation. Contact us to discuss an early-access pilot.

Will every photograph prove when and where goods were delivered?

No. Photographs and signatures support investigation; they are not a guarantee of authenticity or acceptance. The planned design distinguishes capture and upload times. Location capture would require permission and agreed implementation, and must not be treated as verified location by default.

Will it work without a signal?

Offline capture and synchronisation are proposed options to validate for the selected devices. They are not an available guarantee. The agreed implementation must make unsent evidence visible and prevent a failed upload being reported as complete.

Should staff photograph patient information?

The intended evidence is the operational handover: goods, packaging and discrepancies. Avoid unnecessary patient information or faces. Access, retention, privacy notices and any sensitive-data requirements must be agreed for the deployment.
